Every managed IT provider in the South Sound has added the word AI to their website in the last two years. Almost none of them explain what it does.
So here is the honest version, including the parts that are less impressive than the marketing suggests.
What it actually does
AI in IT support is not a technician. It is pattern recognition running against the enormous volume of noise your network produces every day. A hundred devices generating logs, alerts, and telemetry around the clock is far more data than any human team can read. The useful thing about machine learning is that it can watch all of it and notice when something stops looking normal.
In practice, on the systems we manage, that means four things.
Predicting hardware failure
Drive health telemetry follows recognizable patterns before a disk dies. Reallocated sectors climb, read errors cluster, temperatures drift. The pattern is visible days or weeks ahead of the failure. Catching it means we replace a drive on a Tuesday afternoon instead of rebuilding a server on a Saturday night.
Catching the slow degradation nobody reports
Staff do not file tickets when a machine gets gradually slower. They just work around it and lose fifteen minutes a day. Anomaly detection flags the drift, which is how a problem gets fixed before anyone has decided it is worth complaining about.
Correlating alerts into one actual problem
A failing switch port can throw forty separate alerts across a dozen devices. Correlation collapses that into one incident with a probable cause, which is the difference between a technician chasing symptoms for two hours and fixing the right thing in twenty minutes.
Routing tickets sensibly
Classifying an incoming ticket by urgency and type, and getting it to the right engineer without a human triaging the queue first. Unglamorous, and it takes real time out of response.
What it does not do
It does not fix anything. Every one of the examples above ends with a person doing the work.
It produces false positives, and plenty of them. An anomaly detection system that has not been tuned against your specific environment will flag your month-end accounting run as a threat every month until someone teaches it otherwise. Tuning that is human work, and it is ongoing.
It has no understanding of your business. It can tell you a server is behaving unusually. It cannot tell you that the server runs payroll and today is the fifteenth. That context lives with the people who know your operation, which is an argument for a provider who has been in your building rather than one who has never left a call center.
And it is not a differentiator on its own. The monitoring platforms most IT providers run are the same three or four products with the same capabilities. Anyone claiming AI as their advantage is describing their vendor’s feature list, not their own.
The question that actually matters
Here is the part most articles on this topic leave out.
Whether any of this benefits you depends almost entirely on how your IT provider bills.
Under hourly or break-fix billing, prevented problems are lost revenue. A provider who bills by the hour and then invests seriously in stopping tickets from happening is working against their own P&L. Most will not say this out loud, and most do not do it on purpose. The incentive simply pulls the other way, quietly, over years.
Under a flat monthly rate, the math inverts. Every ticket that never happens is margin. Every drive replaced on schedule instead of at 2am is a Saturday nobody works. We have billed flat-rate per user since 2007, which means proactive monitoring is not a feature we sell you. It is how we stay profitable.
That is the real reason to ask about AI. Not whether a provider has it. Whether they have any reason to use it well.
What to ask your current provider
If you already have an IT provider, four questions will tell you most of what you need to know:
- How many tickets did we open last quarter, and is that number going up or down?
- What did you fix in the last ninety days that we never found out about?
- How are you billed when something breaks, and how are you billed when nothing does?
- What have you replaced proactively in the last year?
A provider doing this well can answer all four without preparing. One who cannot has monitoring switched on and nobody watching it.
The other AI question
Separately, and more urgently for most businesses: your staff are already using AI tools. Pasting client information into ChatGPT, running meeting transcription on calls, using whatever assistant is built into the software they already have.
For a law firm or a medical practice, that is a confidentiality question with real consequences, and almost nobody has a written policy on it. It is a different problem from the one this article covers, and for most Tacoma businesses it is the more pressing of the two.
